Office and Client Relations Manager

Grant Us Hope is a Cincinnati-based nonprofit that focuses on helping young people who experience mental health struggles and may be thinking about suicide.  Our signature program, Hope Squad, is a peer-to-peer, school-based program that reduces mental health stigma and helps young people get the help they need before it is too late.

Position Summary

The Office and Client Relations Manager position is responsible for the coordination and implementation of Grant Us Hope accounts payable/receivable, human resources, client communications, scheduling, program/session preparation, and administrative duties.  Project work includes taking an active role in the planning and execution of various public events.

  • Reports to Executive Director

Required Education/Experience

  • Experience: Minimum of 5 years of successful experience as an Administrative Assistant
  • Degree minimum: Bachelor’s Degree preferred
  • Expertise: Knowledge of QuickBooks and Office 365.  Salesforce (preferred).
  • Personal Attributes: Ability to communicate professionally with a variety of audiences, ability to work independently, strong work ethic and ability to take proactive initiative, with a detail-oriented, creative and collaborative approach.

Essential Duties and Responsibilities

  • Accounts Payable and Receivable
    • Maintain all financial records (QuickBooks) including purchasing and payment of vendor obligations, invoicing, collection and deposit of receivables, and production and management of monthly financial statements and budgeting.
  • Human Resources
    • Collect, review and submit payroll on a bi-weekly basis.  Manage employee job descriptions, onboarding, payroll setup, manage timesheets, medical and dental insurances, and reconcile monthly payroll reports.  Maintain and update employee handbook.
  • Daily Correspondence and Client Services
    • Provide daily correspondence, scheduling and follow-up with clients, utilizing written and oral communication and administrative support (collect/distribute mail, make travel arrangements) to organization leaders as defined and requested.
  • Program/Session Preparation
    • Create presentations and provide assistance with the completion of facilitation presentations as requested for the Grant Us Hope team by ordering the appropriate supplies, proof-reading materials and utilizing the facilitation checklist to ensure all materials are ready.
  • Daily Schedule Support
    • Assist with the scheduling of trainings and other events as needed.  Confirm all scheduling commitments with schools by providing appropriate time and location of event.  Meeting preparation and support as needed.
  • Maintenance of all Files and Administration
    • Maintain office, including computer and hard copy filing system, provide marketing support, distribute and post newsletters to schools and social media regularly and support business development correspondence and meetings as requested.
  • Provide Project Support
    • Support client projects as assigned from inception to completion, order supplies and monitor inventory level (for office and facilitation) and support Grant Us Hope leadership.
  • Event Support
    • Assist with the planning and execution of all Grant Us Hope events and fundraisers.

Job Type

  • Full-Time
  • Salary: $20.00 – $23.00 per hour
